We are the controller of the personal data described in this policy.
What we collect
When you create an account or book a class Name, email address, phone number, and your booking and attendance history.
When you buy a membership or pass Payment details. For memberships paid by SEPA direct debit, this includes your IBAN, BIC and a direct debit mandate.
When you enrol a child in a course The child's name, age or date of birth, and the parent or guardian's contact details.
When you subscribe to our newsletter Your email address, and the topics you told us you are interested in.
When you contact us Whatever you choose to include in your message.
When you use our website Functional cookies that make the site and the booking system work, and Wix's own analytics, which tells us how the site is used.
Why we collect it, and on what basis
Managing your account and bookings Because we need it to provide what you signed up for. Legal basis: performance of a contract.

Taking payment and managing memberships Same reason. Legal basis: performance of a contract.

Enrolling a child in a course Legal basis: performance of a contract with the parent or guardian.
​
Telling you about changes to your class or course So you are not left waiting outside a cancelled class. Legal basis: legitimate interest.

Sending our newsletter Legal basis: your consent.
​
Publishing photos and video Legal basis: your consent.
​
Keeping financial records Legal basis: legal obligation.

Keeping our studios safe and running well Legal basis: legitimate interest.
Where we rely on consent, you can withdraw it at any time.
Who we share it with
We do not sell your data. We share it only with the services we need to run Tribes:
​
Wix — our website, booking system, member accounts, content management, payments other than direct debit, and our newsletter through Wix Email Marketing. Wix also provides our site analytics.
​
Mollie — SEPA direct debit only, including your mandate, IBAN and BIC.
Bedrijfsfitness Nederland — if your membership is arranged through them, they manage your membership and billing on their own platform, under their own privacy policy.
​
Our accountant, and the Belastingdienst where legally required — for financial records.
​
Each of these processes data on our instructions, under an agreement requiring them to protect it.
Photos and video
We photograph and film at shows, events and occasionally in classes, and we use these images on our website, in our newsletter and on social media.

We publish recognisable images only with consent. You can withdraw that consent at any time, and we will remove the images.
​
Children under 16 Consent is given by a parent or guardian, and can be withdrawn by them at any time.
​
From the age of 16 You decide for yourself, including whether to withdraw consent given earlier on your behalf.
​
If you would rather not appear, tell the teacher or photographer at the time, or email discover@yourtribes.nl.
Children
We enrol children through a parent or guardian, who provides the information and enters into the agreement with us. We collect only what we need to run the class safely and stay in touch: the child's name, age, and the parent or guardian's contact details.

Dutch law treats 16 as the age from which a young person can make these decisions themselves. Below that age, a parent or guardian decides. Above it, the young person does.
​
We do not send marketing to children, and we do not use children's data for profiling or advertising.
​
If you would like to know what we hold about your child, or would like it removed, email discover@yourtribes.nl.
How long we keep it
Account and booking data While your account is active, and for 5 years after your last booking.
​
Financial records, including payment and mandate details Seven years, as Dutch tax law requires.
​
Newsletter subscription Until you unsubscribe.
​
Photos and video Until you withdraw consent, or ask us to remove them.
Messages you send us 5 years.
Your rights
You have the right to:

If you are not happy with how we have handled your data, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, at autoriteitpersoonsgegevens.nl.
Cookies
We use functional cookies that are necessary for the site and the booking system to work, and Wix's analytics cookies, which tell us how the site is used.

You can manage cookies in your browser settings, though disabling functional cookies may stop parts of the site working.
Security
Your data is held on systems provided by Wix and Mollie, both of which use encryption in transit and at rest. Access within Tribes is limited to the people who need it to do their job.
Changes to this policy
If we change this policy we will update the date at the top, and tell you by email or by a notice on our website if the change is significant.
